Buildertrend quotes one platform with every feature from day one, unlimited users, unlimited projects, integrations, daily virtual trainings and a 24/7 help center[1][2]. It says including unlimited users means your cost does not rise as the team grows[1]. Its own comparison table lists annual or quarterly payment for Buildertrend, against monthly options for some rivals[2]. Its terms, however, refer to monthly and annual subscriptions and to installment plans paid monthly or quarterly[3]. If you need month-to-month billing, ask for it and get it in writing.
Buildertrend explains the lack of a free trial by saying you only see its value once you fully commit[4].
The dollar figures in circulation conflict. Review site Contractor Tool Stack lists April 2026 rates of $339–$829 per month on annual billing, or $499–$1,099 month to month, across three tiers: Essential for project management, Advanced adding estimating, and Complete adding Selections and warranty. It says the figures come from third-party pricing aggregators, not from Buildertrend[5]. Competitor Projul reports that Buildertrend removed published pricing entirely in 2026 and moved to volume-based quotes[6]. Treat both as background for your negotiation, not a price.
What costs extra with Buildertrend?

What does a Buildertrend contract lock you into?
This is where Buildertrend differs most from monthly tools. Its terms and conditions, last updated June 24, 2026, say[3]:
- Your subscription renews automatically at the then-current fees, and those fees can include a consumer price index increase of up to 10% over what you paid, unless Buildertrend quotes otherwise in writing[3].
- If you cancel during the term, you get no refund of fees already charged, and remaining installments are still owed[3].
- Paying in installments does not shorten the commitment; the full term is owed[3].
- All fees, including the subscription, can change or go up, and Buildertrend can revise its fee rates at any time with notice, so the 10% renewal figure is not a hard ceiling[3].
- Pausing is possible only in limited situations and at Buildertrend’s sole discretion[3].
- Buildertrend can terminate the agreement on notice at any time, for any reason or no reason[3].
- The current terms do not promise a renewal reminder. The February 2025 version said Buildertrend would notify annual customers by email or phone at least 30 days before renewal; that promise is not in the June 2026 terms[7][3].
Reviewers describe these terms in practice. One Capterra reviewer said Buildertrend declined to use its discretionary suspension clause during a cash flow crisis, and another describes a steep price increase[8].
Put the renewal price in writing before you sign. The terms build a price increase of up to 10% into each renewal unless Buildertrend commits to a different figure in writing, fees can also be revised with notice, and cancelling partway through does not stop the bills. Set your own renewal reminder, because the terms no longer promise one.
Can you get your data out of Buildertrend if you leave?
When your subscription ends, your access to the software and your data ends with it. Under the terms, your data may stay accessible for one year after the term ends, and after that one-year window Buildertrend may permanently delete it[3]. During that year you can ask for access, but Buildertrend decides the format, method and manner at its sole discretion, and any access it provides may carry fees[3]. Reviewers on Capterra say there is no simple bulk way to download years of files, photos, proposals and customer records, and one says they kept paying for a platform they no longer used just to keep access to past project data[8].
Export your files, photos, proposals and client list before your renewal date. After the term ends, getting data back is at Buildertrend’s discretion and may cost extra, and after one year your data may be deleted for good.
How does Buildertrend track where leads come from?
Buildertrend has a sales CRM built in, but its lead tracking is centered on its own website form. A remodeler running Google Ads, Local Services Ads or a Google Business Profile should know what connects and what does not.
- Website form: the Lead Contact Form embeds on your site, and each submission creates a Lead Opportunity and alerts your sales team[9]. Buildertrend lists four ways to enter leads, including automatic capture from an online contact form[10].
- Email follow-up: automated email drip campaigns are built in[10]. Text messaging is not documented.
- Reporting: Buildertrend says CRM insights help you focus lead generation spend, but does not document lead-source or return-by-channel reporting in detail[10].
- Other CRMs: the marketplace lists HubSpot, Salesforce and Pipedrive, plus accounting tools QuickBooks, Sage Intacct, Xero and Gusto[11].
- Zapier and API: neither is listed on the marketplace[11].
- GoHighLevel: not listed. HubSpot, Salesforce and Pipedrive are the only CRM integrations shown[11].
- Call tracking, Google Local Services Ads, Google Business Profile and review requests: none is documented on the Buildertrend pages we checked.
Where leads lose their source: phone calls are the biggest gap. With no documented call tracking or CallRail connection, a call from an ad, an LSA listing or a Google Business Profile reaches Buildertrend only when someone enters it by hand and picks a source.
On a live builder website we inspected, the Buildertrend contact form loads inside a frame served from buildertrend.net, not as part of the builder’s own page[12]. If you run paid ads, ask Buildertrend whether the form records UTM tags or the Google click ID from the page the visitor landed on. Its pages we checked do not say.
Who is Buildertrend built for?
Buildertrend says it is built for established residential builders and contractors running complex, high-value work[4]. Its primary users are custom, semi-custom and luxury home builders whose clients are closely involved, and remodelers running many jobs at once; commercial general contractors and specialty contractors also use it[4]. The pricing page targets companies running five or more projects a year or complex multi-phase builds[1].
- Client portal: a branded portal shows homeowners the schedule, daily logs and, if you choose, budgets, invoices and bills, which suits open-book projects[13].
- Selections: homeowners choose products in the portal, see allowances and deadlines, and sign off on selections[13].
- Change orders: clients approve change orders electronically[13].
- AI client updates: a Generate AI Summary tool drafts weekly project updates[13].
It is not a restoration or roofing tool. Its marketplace lists no aerial measurement integration, and its pages document no Xactimate or insurance claim workflow[11].
Buildertrend was founded in 2006, is based in Omaha, Nebraska, and is led by co-founder and CEO Dan Houghton[4][14]. Bain Capital Tech Opportunities invested in 2020, and Bain and HGGC funded its February 2021 acquisition of CoConstruct[15][16].

The recurring praise is a client portal that builds homeowner trust through photos and progress updates, and scheduling, budgeting and communication kept in one place[17].
