What Is the Best CRM for HVAC Companies in 2026?

The best CRM for HVAC companies is Jobber or Housecall Pro for one or two trucks, Service Fusion, Workiz or FieldEdge for three to ten technicians with an office, and ServiceTitan for multi-location shops. Truck count decides it more than features. Jobber ($29–$49 a month for one user) and Housecall Pro ($59–$79 a month for one user) publish prices and sell month to month[1][2]. Service Fusion publishes flat per-company prices from $245 a month with unlimited users[3], while Workiz and FieldEdge quote by sales call[4][5]. ServiceTitan, the usual pick for shops with a dispatcher and real ad spend, runs a user-reported $245–$500 per technician per month plus a $5,000–$15,000 implementation fee that ServiceTitan has not confirmed[6]. All six list HVAC as a served trade. The HVAC-specific catch: maintenance agreements and memberships, the revenue that carries a shop through the shoulder months, sit on the top plan at Housecall Pro, Workiz and ServiceTitan, so price the plan that has them, not the entry plan[2][4][7].

Which CRMs actually serve HVAC companies?

All six vendors on this page name HVAC on their own sites. ServiceTitan lists HVAC first in its residential trade list[7]. FieldEdge pitches itself to service leaders "in HVAC, Plumbing, and Electrical" and traces its roots to HVAC software built in Fort Myers in 1980[8][9]. Housecall Pro names HVAC among the trades it is built for and announced an HVAC-specific package on July 15, 2026, without publishing its price[2][10]. Jobber, Workiz and Service Fusion each list HVAC in their industry menus[1][4][11].

Naming HVAC is not the same as being built for it. Below, each vendor is tested on maintenance agreements, seasonal staffing, equipment records, financing, and whether it can say which ad produced the job.

Two of the six publish no prices at all (ServiceTitan, FieldEdge) and one removed them in 2025–2026 (Workiz)[7][5][4]. Any dollar figure you see for those three on a review site is a user report or a competitor’s compilation, not a quote.

Which HVAC CRMs handle maintenance agreements and memberships?

A maintenance agreement is a recurring visit, a recurring charge and a renewal date, and the CRM has to hold all three. This is where the plan tiers bite. On four of the six vendors, the agreement feature is on the top plan or an add-on, not the entry plan.

FieldEdge is the outlier in the right direction: agreements start on its entry plan, and it splits "basic" from "advanced" agreements between Select and Premier[5]. That fits a company whose history is HVAC software going back to 1980[9]. Housecall Pro puts recurring service plans on MAX only, so a two-truck shop that wants memberships pays $299 a month, not $59[2].

Service Fusion sends its automated review request when an invoice is paid in full, and its own announcement says recurring invoices do not trigger a request[53]. If your membership visits bill on recurring invoices, those visits will not ask for a Google review. Ask how to request reviews from agreement customers before you count on the feature.

Can you add and drop technicians for the season?

HVAC staffing swings. Summer help in July and a smaller crew in October is normal, and each vendor charges for that differently.

  • ServiceTitan: you pay for the seats you committed to for the whole term, filled or not[12]. Size the commitment to the off-season crew, not the July crew.
  • FieldEdge: each plan includes a fixed count of mobile app licenses, 2 on Select, 4 on Premier and 6 on Elite; extra licenses have no published price, and you can only drop to a lower plan at the end of the contract period[5].
  • Housecall Pro: Basic includes 1 user, Essentials 5 and MAX 8, with extra MAX users at $35 a month; no long-term contract, so seasonal changes are a billing-period decision[2].
  • Jobber: every extra user is $29 a month, and anyone who logs in to view or manage the schedule counts as a user, office or field[1]. The plan bands go 1, 5, 10 and 15 users[1].
  • Workiz: the June 2026 archived pricing page called the plans "Monthly billing, incl. first 5 users" and listed extra members at $55 (Standard) or $65 (Pro), labeled "annual payment"; those match the 2025 monthly rates, so it is not clear whether the annual extra-user price rose or the label changed[54]. The live page no longer shows extra-member prices at all[4]. Ask for the per-member rate in writing.
  • Service Fusion: unlimited users on every plan, so a summer hire costs nothing extra on the software[3].

If your headcount doubles in summer, Service Fusion’s flat per-company price and Housecall Pro’s no-contract billing are the two models that do not punish the swing. Per-seat commitments at ServiceTitan and per-license counts at FieldEdge do.

Which HVAC CRMs track equipment and offer customer financing?

An HVAC CRM should know what is installed at each address: make, model, serial, install date and warranty. It should also help close a five-figure replacement, which usually means financing. The vendor pricing pages say less about both than you would expect.

  • Equipment records: Workiz lists equipment tracking on Ultimate[4]. FieldEdge lists warehouse inventory on Elite, for QuickBooks Desktop Enterprise only[5]. Service Fusion lists inventory on Plus[3] and Workiz lists inventory and purchase orders on Ultimate[4]. None of the other pricing pages we read names installed-equipment or serial-number records. Ask each vendor to show you an equipment record on a customer’s property, then ask which plan it is on.
  • Financing: Housecall Pro lists "payments and consumer financing" on its $59–$79 Basic plan[2]. Service Fusion sells Homeowner Financing through Acorn Finance, shown on estimates, jobs and invoices, with $0 dealer fees, $1K–$100K loans from 30+ lenders, and no availability in Massachusetts[55]. No other vendor plan table we read mentions consumer financing. Ask the vendor which lenders it connects to and what the dealer fee is.
  • Multi-option quotes for replacements: FieldEdge sells single-option quotes on Select and multi-option quotes on Premier[5]. Jobber puts quotes with visuals and optional line items on Grow[1]. ServiceTitan puts mobile estimates on Essentials[7]. Housecall Pro’s sales proposal tool is on MAX[2], and Workiz’s sales proposals are on Ultimate[4].

Inventory is not the same as installed equipment. A warehouse module tracks parts on your shelf; a replacement-selling HVAC shop needs the unit at the customer’s house, with its age, so the CRM can flag 15-year-old systems before the season. Make the vendor show you that view.

How does each CRM track where HVAC leads come from?

HVAC ad budgets spike in June and January, and the question that matters in August is which channel the replacement jobs came from. The table above has the basics; these are the HVAC-specific points.

  • Google Local Services Ads: ServiceTitan brings LSA bookings in automatically[14]. Jobber books LSA jobs into the schedule[33]. Workiz connects its booking portal to LSA, and its help article still refers to the Google Guarantee badge[42]. Housecall Pro connects LSA free but mixes paid LSA bookings with free Reserve with Google bookings in one channel it says is "not differentiated"[27]. FieldEdge documents no native LSA integration; Free2Grow, an AI answering partner, says it responds to LSA leads and books into FieldEdge[56]. Service Fusion routes LSA leads through partner LSArespond[47].
  • Revenue by campaign, not calls by campaign: ServiceTitan’s Marketing Scorecard ranks campaigns by revenue[16] and Workiz reports job volume, revenue and ROI by source[40]. For a trade where one replacement is worth many tune-ups, revenue attribution is the number to insist on.
  • Google Business Profile bookings: Jobber links your default booking form to your profile automatically on all plans, citing its terms of service, and you disable it to opt out[34]. Workiz says connecting Reserve with Google links its booking page to your profile in about 48 hours[43]. If an agency already placed a tracked booking link on the profile, check what shows the day you connect.
  • Google Ads conversions: ServiceTitan stores the Google click ID with a caller and sends booked calls, and unbooked calls over 60 seconds, back to Google Ads as conversions, once Google Analytics and website call tracking are set up[17]. No other vendor page we read describes sending conversions back to Google Ads.

Where HVAC leads lose their source: a tune-up call to the main office line instead of a tracking number, a membership renewal typed in by the CSR, and a Housecall Pro Google booking that could have been paid LSA or free Reserve with Google. Decide before the season how each of those gets tagged.

Which CRM should an HVAC company buy?

  • Solo or 1–2 trucks: Jobber or Housecall Pro. Both publish prices, sell month to month and offer a free trial[1][2]. Pick Housecall Pro if you want recurring service plans and consumer financing in one vendor, knowing plans push you to MAX at $299 a month[2]. Pick Jobber if your leads come through web forms and you want UTM attribution without add-ons[32]; budget CallRail for calls[35].
  • 3–10 techs with an office: Service Fusion if headcount swings and you want one flat price with unlimited users, accepting that call tracking is an unpriced add-on[3][46]. FieldEdge if agreements are the core of the business and you are fine keeping marketing inside it, with a 12-month auto-renewing contract[5][20]. Workiz if you run ads and want revenue by source, on a 12-month term that can rise up to 10% a year[40][38].
  • Multi-location: ServiceTitan. It is the only one of the six whose pages describe LSA, Reserve with Google, tracking numbers and Google Ads conversion sync all in one system[14][15][17]. Get the per-technician price, the implementation fee, every Pro add-on and the seat minimum in writing before the demo ends, because leaving early costs every remaining payment[12].
  • Whatever you pick: pull your own customer, equipment and agreement exports while the account is open. At ServiceTitan, FieldEdge and Service Fusion, the export after you cancel is a vendor favor or a paid service[12][20][45].
