How Should Roofing Lead Follow-Up Be Automated?
Free Agentic Browsing Audit

Can an AI agent actually use your website?

AI agents are starting to visit sites on a customer's behalf — comparing companies and requesting quotes. We run the same agentic browsing checks Google built into Chrome and show you what an agent hits when it lands on your site. No email to run it.

By Ryan Goering, founder and CEO of BaaDigi. We build contractor CRMs and call handling, so the process below is how we set it up; the response figures are aggregates from our own client accounts.

Last updated: September 2026.

What information should a roofing lead include?

Collect enough information to route the request without turning the first inquiry into a lengthy inspection. Ask for the property address, the type of roof work, a description of the concern and a way to respond. Separate the person requesting help from the person authorized to approve work when necessary.

InquiryNext useful questionRecommended handoff
Leak or recent damageWhat is happening now, and where is the property?Office or on-call person checks service coverage and availability.
Replacement estimateWhat prompted the request and what timing is being considered?Estimator reviews scope and arranges an assessment.
Commercial propertyWho manages the property and authorizes the assessment?Commercial contact receives property and decision-maker details.
Existing customer concernWhich project or service visit does this concern?Service team receives the history; pause new-customer sales messages.

Do not let an automated reply diagnose damage, confirm insurance coverage or promise emergency attendance. Those are decisions for the appropriate people after reviewing the situation. A request for urgent help should reach the designated human contact rather than disappear into a standard estimate sequence.

What happens after a form is submitted?

Give every inquiry one record and one responsible person. A useful workflow starts with the following steps:

  1. Save the original request. Keep the source, time, service details and communication preferences.
  2. Check for an existing conversation. Avoid sending a new-lead sequence to a customer already discussing the same roof.
  3. Notify the owner. Provide the request details and a link to the record.
  4. Set a next action. Call, request missing information or confirm an assessment according to the customer's preferences and your operating hours.
  5. Record the outcome. Distinguish attempted contact from a real conversation and a scheduled visit.
  6. Escalate unattended requests. Give a backup person a visible task when the first owner is unavailable.

Compare the lead-handling features in our roofing CRM guide before replacing a system that already works. The lead-response tool checklist provides demonstration questions. Confirm how each integration handles contacts, appointments and failed transfers; do not assume every roofing platform supports the same connection.

When do roofing inquiries arrive, and how fast do offices reply?

Mostly during the workday. Across 486 website form submissions on 28 client sites (Apr–Sep 2026), 66.9% arrived between 8am and 5pm Pacific, Tuesday was the busiest day, and weekend days ran at about 40% of a weekday. Build the workflow for office hours first and the after-hours path second.

Replies are the weak link. Across 492 inbound conversations on six client accounts (Jun–Sep 2026), 289 got a logged reply (58.7%); the median first reply among them took 3.2 minutes, 46.1% of all conversations were answered within 60 minutes and 53.3% within 24 hours. By channel, SMS first contacts got a median reply in 1.2 minutes, Facebook in 0.3 and Instagram in 0.1, which is auto-responders doing the work; phone calls on the one account with call data took a median of 14.0 minutes, and 211 calls had no logged outbound message at all, which mostly means call-backs went unlogged rather than unanswered. Log the call-back; a CRM cannot escalate what it cannot see.

Is instant-connect calling the same as an AI receptionist?

No. In a bridge-call design, the system reaches a staff member first and then connects that person to the prospect. An AI receptionist handles an inbound conversation according to its configured instructions. These solve different problems and require separate testing.

For bridge calling, confirm staff availability before attempting to reach the homeowner. If nobody accepts the handoff, create a task instead of repeatedly dialing. For an AI receptionist, test service-area questions, requested appointments, human transfers and unavailable staff. Do not assume a calendar integration proves that the proposed time is practical for travel or inspection work.

How do you keep automated messages appropriate?

Use the contact method and purpose the person agreed to, and keep that record with the inquiry. Twilio's current messaging policy, for example, requires consent and allows recipients to withdraw it. Your actual calling and messaging setup needs its own review; labeling a call “instant connect” does not establish compliance.

Our recommended controls include permitted sending hours, a working opt-out process, duplicate suppression and a pause when a staff member takes over. Do not import an old lead list into a new sequence on the assumption that previous contact authorizes every future message. This guide does not prescribe a legal consent notice or recommend ringless voicemail.

What should happen before and after an inspection?

Confirm the agreed appointment and give the customer a simple way to change it. Tell them what the visit covers and who will attend, using details your office has actually approved. After the visit, record who owns the estimate and when the customer expects it.

Once the estimate is delivered, agree on the next conversation rather than sending an endless “just checking in” sequence. Log questions about scope, materials, exclusions or scheduling so the estimator can answer them. A reply, cancellation, declined proposal or signed agreement should change the workflow immediately.

Use the roofing lead-generation guide for the acquisition side. This article concerns handling an inquiry after it arrives; adding traffic and fixing follow-up are different decisions.

What does a configured roofing CRM cost?

BaaDigi's Custom CRM pricing lists one-time builds of $1,500 for Starter, $5,000 for Growth and up to $11,000 for Custom, followed by $147 per month plus itemized usage. The scope determines the tier. A custom call bridge or connection to another roofing platform must be confirmed in the written scope.

Do not treat that price as including unlimited calls, every AI feature or advertising. Compare setup, monthly support, usage, migration and the staff time needed to maintain accurate records. Ask which parts of the existing CRM remain in use and who resolves a failed connection.

What should you test before going live?

Run test inquiries through normal hours, after hours and staff absences. Try a duplicate contact, an out-of-area property, an appointment change, an opt-out and a question outside the approved script. Check the customer-facing response and the office record for each case.

Use the response-time record to distinguish receipt, attempts and conversations. After launch, inspect inquiry-to-conversation time, unattended tasks, appointments, estimates and outcomes. Review a sample of unsuccessful inquiries too. Faster responses are useful only when they reach the right person, preserve the customer's request and lead to an accurate next step. Use consistent cost definitions before claiming the change improved acquisition costs.

Frequently Asked Questions

What happens to a roofing inquiry after hours?▼

Pick a path your team can actually staff. Record the request, tell the customer when a person will call and route active leaks to an on-call person if that coverage exists. Never imply a crew was dispatched because a text went out, and test time zones and staff absences before trusting it.

Can automation tell whether a roof needs replacement?▼

No. Intake can collect the concern, address, timing and photos. Whether the roof needs replacement is a judgment for the inspector, never an automated reply.

Should I automate follow-up to old roofing leads?▼

Not as a blanket campaign. First read why each inquiry is still open and what contact permission is on the record. Separate the homeowner who asked for a call in spring from the one who declined, opted out or hired someone else; only the first group is a reactivation candidate. Then send one specific, honest message that references what they asked about and offers a real next step, from a number they recognize. In our client data (492 conversations, Jun–Sep 2026) 4 in 10 inquiries never got a logged reply, so a good share of an old list is people you never actually spoke to; treat them as new inquiries you owe an apology, not as a nurture sequence.

How should I compare roofing follow-up software costs?▼

Compare the complete scope: setup, monthly support, messaging and call usage, integrations, training and any AI charges. BaaDigi's custom CRM builds run $1,500 to $11,000 one-time plus $147 per month with itemized usage. A cheaper subscription that makes the office duplicate work is not cheaper.
